The problem

The problem

A growing money services business had its founder personally managing all invoicing in Mercury, tracking unpaid invoices in a spreadsheet, and calling delinquent clients by hand. Two different minimum structures, volume-based and fee-based, were tracked manually per client, with no automated link between contract terms and the billing schedule, and no unified view of payment status for the sales team.

What Loopfour automated

What Loopfour automated
  1. 1Contract signed: signed contracts auto-forward from SignNow, AI extracts billing terms (setup fees, platform fees, minimums, renewal terms), and a human reviews via Slack
  2. 2Setup and deposit: setup fee invoices send immediately via Mercury or Stripe, with configurable credit card fee pass-through, and payment confirmations post to a dedicated Slack channel
  3. 3Monthly billing: usage data ingests from the daily ops spreadsheet, both minimum types are supported, shortfalls invoice automatically, and platform fees generate on schedule
  4. 4Collections: an AI persona sends reminders on a customizable schedule by customer segment, Plaid bank monitoring detects direct ACH or wire payments and auto-reconciles them, and outreach logs to HubSpot
  5. 5Reporting and rev rec: DSO is tracked per customer, revenue spreads per ASC 606, and SaaS metrics (MRR, churn, expansion, net retention) roll up into investor-ready dashboards

Why it matters for controllers

Why it matters for controllers

Revenue by state rolls up automatically for tax filings, no year-end compilation required, and every invoice traces back to the specific contract term it was generated from.
