The problem

The problem

A large enterprise cybersecurity software company with complex multi-entity billing had an AR team losing its mornings to a two-hour aging report download from NetSuite, followed by three-plus hours sending collection emails one by one, manual searches through a shared inbox for responses, slow note logging in NetSuite, no tracking system for disputes, and partner payments applied one check to fifty-plus invoices by hand. Everything else lived in Excel VLOOKUPs.

What Loopfour automated

What Loopfour automated
  • E-invoicing and portals: auto-uploads invoices to Ariba, Coupa, and Tungsten via API, polls portal status for approvals or disputes, and falls back to email with PDF if a portal rejects
  • Collections and outreach: builds a prioritized worklist by amount, aging bucket, and risk score, sends branded dunning emails at configured intervals (0, 7, 14, 30, 60 days), and parses inbox replies to auto-route them to the assigned collector
  • Cash application: applies multi-entity payments across three-plus legal entities with matching intercompany JEs, detects FX currency mismatches and books the gain or loss, handles withholding-tax short-pays with automated certificate requests, and maps partner remittances to the right customer invoices
  • Confidence scoring: matches 97% of partner payments automatically at 95%+ confidence, routing only the remaining 3% for manual review
  • Forecasting: auto-tags invoices with an expected collection quarter and tracks forecast versus actual by quarter, customer, collector, and segment

Why it matters for controllers

Why it matters for controllers

Confidence scoring means the system tells you exactly how sure it is before it applies a payment, and every SOX-relevant action, application, dispute, escalation, keeps its own audit trail.
